Purpose
This policy establishes a fair, accessible, and transparent process for raising and resolving workplace concerns and grievances. The company is committed to addressing concerns promptly, objectively, respectfully, and without retaliation.
Scope
This policy applies to all employees, trainers, contractors, and other personnel of the company.
Concerns raised by training participants or clients may also be addressed under this policy when appropriate.
Policy Principles
All grievances shall be handled according to the following principles:
- Fairness – All parties shall have a reasonable opportunity to explain their side.
- Impartiality – Concerns shall be reviewed objectively and, whenever possible, by a person who is not directly involved in the matter.
- Transparency – The person raising the grievance shall be informed of the process and outcome, subject to confidentiality requirements.
- Confidentiality – Information shall be shared only with persons who reasonably need it to review or resolve the concern.
- Timeliness – Grievances shall be addressed without unnecessary delay.
- Non-Retaliation – No person shall be penalized for raising a concern in good faith or participating in a grievance review.
Matters That May Be Raised
A grievance may involve concerns relating to:
- Workplace treatment or conduct
- Unfair or inconsistent application of company policies
- Work assignments, responsibilities, or working conditions
- Conflicts involving employees, trainers, supervisors, or management
- Harassment, discrimination, bullying, or inappropriate behavior
- Health and safety concerns
- Compensation or employment-related concerns
- Other workplace practices that an individual reasonably believes require management attention
Raising a Grievance
Whenever appropriate, employees are encouraged to first discuss minor concerns directly with the person involved or their immediate supervisor.
When informal resolution is inappropriate, unsuccessful, or uncomfortable, a grievance may be submitted directly to management or another designated person.
A grievance should provide sufficient information to understand the concern, including the relevant events, persons involved, approximate dates, and the resolution being requested when applicable.
Anonymous concerns may be considered when sufficient information is available to reasonably assess the matter.
Review and Resolution Process
Upon receiving a grievance, the company shall:
- Acknowledge the concern within a reasonable period.
- Determine the appropriate person to review the matter.
- Gather relevant information and, when necessary, speak with the persons involved.
- Give affected parties a reasonable opportunity to provide information or explain their position.
- Assess the matter based on available facts and applicable company policies.
- Determine appropriate corrective, preventive, or other action when warranted.
Communicate the resolution or status of the matter to the person who raised the grievance,
to the extent appropriate and permitted by confidentiality requirements.
Not every grievance will require a formal investigation. The process used shall be proportionate to the nature and seriousness of the concern.
- Escalation If a person reasonably believes that a grievance was not adequately addressed, the matter may be escalated to a higher level of management or another designated decision-maker who was not directly responsible for the initial resolution, whenever practicable.
Grievances involving the person's immediate supervisor may be raised directly with higher management.
Protection Against Retaliation
Retaliation against any person for raising a concern in good faith, providing information, serving as a witness, or participating in a grievance process is prohibited.
Any suspected retaliation should be reported immediately and shall be treated as a separate concern.
Knowingly making false or malicious accusations, however, is not protected by this provision and may be subject to appropriate action.
Confidentiality and Documentation
Grievance information and records shall be handled with appropriate confidentiality and access shall be limited to persons with a legitimate need to know.
Relevant grievances, actions taken, and resolutions may be documented to support accountability, consistency, and improvement of company practices.
Continuous Improvement
Management may periodically review grievance trends to identify recurring issues, gaps in policies or procedures, and opportunities to improve workplace practices.
Effectivity
This policy shall take effect upon approval by management and shall remain in force until amended or superseded.
