Health, Safety and Emergency Policy

Health, safety, incident-reporting, evacuation and emergency guidelines for employees, trainers, participants, visitors and contractors.

Section 1

Purpose

This policy establishes guidelines to maintain a safe and healthy environment for employees, trainers, participants, visitors, contractors, and other persons within the training center. It also provides basic procedures for responding to accidents, medical emergencies, fires, earthquakes, and other emergency situations.

Section 2

Scope

This policy applies to all employees, trainers, participants, visitors, contractors, and other persons present within the training center or participating in company-organized activities.

Section 3

General Health and Safety

Everyone within the training center is expected to observe reasonable health and safety precautions.

The training center shall:

  • Maintain classrooms, offices, hallways, entrances, and common areas in a safe and orderly condition.
  • Keep emergency exits and evacuation routes accessible and free from obstruction.
  • Provide appropriate fire extinguishers, first-aid supplies, and other required safety equipment.
  • Identify emergency exits and evacuation routes through appropriate signs.
  • Address reported hazards, damaged equipment, exposed electrical connections, spills, and other unsafe conditions as soon as reasonably possible.
  • Provide adequate lighting and ventilation in occupied areas.
  • Maintain emergency contact information and procedures accessible to staff.
Section 4

Individual Responsibilities

Employees, trainers, participants, and visitors are expected to:

  • Follow posted safety instructions and directions given by authorized personnel.
  • Use equipment and facilities properly.
  • Immediately report accidents, injuries, spills, damaged equipment, or potentially unsafe conditions.
  • Avoid blocking emergency exits, hallways, stairs, and access to safety equipment.
  • Refrain from activities that may endanger themselves or others.
  • Cooperate during drills, evacuations, and actual emergencies.
Section 5

Medical Emergencies

In the event of an injury or medical emergency:

  1. Immediately inform a staff member or authorized representative.
  2. Provide basic first aid only when it is safe and appropriate to do so.
  3. Contact emergency medical services when the situation requires professional medical assistance.
  4. Keep the surrounding area clear to allow responders to assist the affected person.
  5. Notify the person's emergency contact when necessary and when appropriate information is available.
  6. Document significant incidents for internal records and appropriate follow-up.

The training center shall not require an injured or seriously ill person to continue participating in training activities.

Section 6

Fire Emergency

Upon discovering fire or smoke:

  • Alert persons in the immediate area.
  • Notify training center personnel immediately.
  • Activate the building's fire alarm or emergency notification system when appropriate.
  • Evacuate using the nearest safe exit.
  • Do not use elevators during a fire evacuation.
  • Proceed to the designated assembly area.
  • Do not return to the building until authorized personnel or emergency responders declare that it is safe.

Fire extinguishers should only be used by persons who are capable of doing so safely and only when there is a clear and safe means of escape.

Section 7

Earthquake

During an earthquake:

  • Remain calm and perform Drop, Cover, and Hold On.
  • Stay away from windows, glass, shelves, and objects that may fall.
  • Do not immediately rush toward exits while strong shaking is occurring.

After the shaking stops, follow instructions from authorized personnel and evacuate when necessary. Be alert for falling objects, damaged electrical equipment, broken glass, and other hazards.

Section 8

Evacuation

When evacuation is required:

  • Stop training or work activities immediately.
  • Follow the designated evacuation route or instructions from authorized personnel.
  • Bring personal belongings only when they are immediately accessible and doing so will not delay evacuation.
  • Assist persons requiring reasonable assistance when it is safe to do so.
  • Proceed directly to the designated assembly area.
  • Trainers or assigned personnel should account for participants when reasonably possible.
  • Do not re-enter the premises until clearance has been given.
Section 9

Severe Weather, Natural Disasters and External Emergencies

Training activities may be suspended, transferred to an alternative venue, shifted to virtual delivery, or rescheduled when conditions create a significant safety risk.

Management shall consider official government advisories, building management instructions, transportation conditions, and actual conditions affecting the training venue.

Any cancellation or rescheduling resulting from such circumstances shall be handled in accordance with the company's applicable cancellation and rescheduling policies.

Section 10

Accidents and Incident Reporting

Accidents, injuries, property damage, near misses, and significant safety incidents occurring within the training center should be reported to management or designated personnel as soon as possible.

An incident report may be prepared to document:

  • Date, time, and location of the incident
  • Persons involved
  • Description of what occurred
  • Injuries or property damage, if any
  • Immediate action taken
  • Witnesses, when applicable
  • Recommended corrective or preventive action Incident records shall be handled appropriately and with due regard for privacy and confidentiality.
Section 11

Electrical and Equipment Safety

Only properly functioning electrical equipment should be used within the training center.

Damaged cords, plugs, outlets, extension cables, computers, projectors, appliances, or other equipment that may present a safety risk should be disconnected when safe to do so and reported immediately.

Electrical outlets and extension cords must not be overloaded.

Section 12

Housekeeping and Waste Management

Classrooms, work areas, and common areas must be kept reasonably clean and free from unnecessary hazards.

Waste shall be properly segregated and disposed of in accordance with the company's Waste Disposal Policy.

Spills, broken glass, sharp objects, and other potentially hazardous materials must be reported and handled appropriately.

Section 13

Communicable Illness

Persons experiencing symptoms of a potentially communicable illness are encouraged to take reasonable precautions to avoid exposing others.

Management may implement temporary health and safety measures when warranted by government advisories, public health conditions, or specific risks affecting the workplace or training activity.

Section 14

Emergency Contacts and Coordination

Emergency numbers and relevant building or facility contacts shall be maintained and made accessible to appropriate personnel.

Where the training center operates within a building or shared facility, its emergency procedures shall be coordinated, where applicable, with the building administration's established safety, evacuation, and emergency procedures.

Section 15

Compliance

All persons within the training center are expected to cooperate with reasonable health, safety, and emergency requirements.

Employees or trainers who deliberately disregard safety procedures may be subject to appropriate corrective or disciplinary action. Participants or visitors who create a serious safety risk may be asked to discontinue the unsafe activity or leave the premises.

Section 16

Effectivity and Review

This policy shall take effect upon approval by management and shall remain in effect until amended or superseded.

The policy may be reviewed periodically and after significant incidents to determine whether additional safety measures or procedural changes are necessary.
